Open Position: Marketing Executive Assistant
The SHD Marketing Executive Assistant role is focused on managing and refining administrative tasks throughout the company. The Executive Assistant position will report directly to Susan Davis, owner of SHD Marketing and work will take place at our Norwell office. The Executive Assistant will provide high-level administrative support to the marketing team to ensure smooth operations within the agency. This position is a contractor position with opportunities for advancement.
Key Responsibilities:
Calendar Management: Proactively manage schedules and coordinate with internal and external stakeholders.
Client Communication: Support our clients and prospects, responding to inquiries, managing communication flow, and ensuring timely updates on project progress.
Project Coordination: Assist with project management tasks, including tracking deadlines, coordinating team members, and ensuring deliverables are met on time.
Meeting Preparation: Prepare agendas, gather necessary materials, take meeting minutes, and distribute follow-up action items.
Administrative Support: Handle general administrative tasks like print ordering, document management, and data entry.
Marketing Support: Assist with marketing initiatives and support campaign execution.
Research and Analysis: Conduct market research, gather data, and analyze information to support marketing strategies.
Required Skills:
Exceptional Organizational Skills: Ability to manage multiple priorities, deadlines, and complex schedules effectively.
Strong Communication Skills: Excellent written and verbal communication to interact with clients, colleagues, and senior management.
Proficiency in Microsoft Office Suite and Google: Expertise in applications like Word, Excel, and PowerPoint for creating documents, presentations, and managing data. Comfort with Google calendar, drive, etc.
Attention to Detail: Ability to meticulously manage details and ensure accuracy in all work.
Professionalism: Maintain a professional demeanor and confidentiality when dealing with sensitive information.
Adaptability: Flexibility to adjust to changing priorities and work effectively in a fast-paced environment.
Desired Experience:
Proven experience as an Executive Assistant, preferably within a marketing agency setting.
Demonstrated ability to manage complex calendars and prioritize tasks effectively.
Strong understanding of marketing principles and processes.
Experience with project management tools and CRM systems.
